Settings dialog box

This dialog box serves for selecting settings that govern conversions of PDF or XPS mail attachments to editable formats, archiving mails and their attachments to PDF and for creating PDF files from non-PDF attachments.

These settings are available in Microsoft Outlook and Lotus Notes® (versions 7.0 and 8.5).

  • In the mailing application, click the Settings button. The Settings dialog box appears, with three tabs.

Multiple attachments

  • Convert all attachments: Select this to always have all attachments converted.

  • Prompt for selection: Select this to be able to choose each time which PDF or XPS attachments to convert. When you click the PDF Converter 6.0 button, a dialog box appears with a list of all attachments belonging to a message. Select the attachments you want to convert.

If the Select all attachments checkbox is turned on, all the attached files will be converted. Direct conversion starts when you click OK. This choice has no effect when you select messages with only one attachment.

Mail archiving settings

Archive Format

Select one of the supported PDF file formats. The version of generated files can be controlled with this selection box. If you choose the Store mails as PDF Package option, the generated PDF file has version 1.7 and the contained PDF files will be generated according to the selected version.

Archive method

Select one from the following choices:

  • Merge mails into one PDF file: Mails or other items (e.g. contacts, appointments) are saved into one PDF file. During archiving, you have to specify the target folder and also the name of the PDF file.

  • Archive mails separately: Mails or other items are saved into separate PDF files. During archiving, you have to specify only the target folder. The name of the generated PDF files is inherited from the Subject of the mail. To avoid naming conflict, trailing numbers are used in the generated file names, if necessary. If you choose this and archive your calendar, each appointment appears in a separate PDF file.

  • Store mails as PDF Package: Mails or other items are converted into separate PDF files and added to a PDF package. During archiving, you have to specify the target folder and also the name of the PDF files.

Mail attachments

Select the appropriate option from the selection box.

Archive subfolders

Select this if you want to archive folders with their subfolders. Deselect this if you do not want to archive subfolders.
